A GUIDE FOR BUSINESS OWNERS

What are bookkeeping services?

Bookkeeping services keep a business’s financial transactions recorded and organized. The work commonly includes categorizing income and expenses, reconciling accounts and preparing financial reports so an owner can understand the records.

From everyday transactions to a clearer picture

Recording and categorizing

A customer payment and a payment for supplies both affect the books, but they belong in different places. Categorization gives transactions context. A bookkeeper may need invoices, receipts or an explanation from the owner to record an item appropriately.

Reconciliation

Reconciling an account means comparing the bookkeeping records with the relevant statement and investigating differences. A downloaded transaction feed alone does not establish that the records agree. Missing or duplicate entries can change what the reports appear to show.

Financial reporting

Reports organize the recorded figures into a form an owner can review. For example, a profit and loss report shows recorded income and expenses over a period. The usefulness of a report depends on the underlying records being complete and the reporting period being understood.

A PRACTICAL NEXT STEP

Questions to ask before choosing support

01

What work is included?

Ask which accounts, reporting periods and tasks are covered, and whether existing records need cleanup first.

02

What do I need to supply?

Understand the records, transaction explanations and regular input expected from you.

03

How will we discuss the numbers?

Ask how reports and questions are handled, along with the scope and price of the service.

Bookkeeping and accounting: understand the scope

Bookkeeping concentrates on recording and organizing financial activity. A broader accounting engagement may involve interpreting those records, advising on tax or preparing filings. Service labels vary, so ask what is actually included. Routinebooks offers bookkeeping and reporting; US tax advice, tax preparation and payroll processing are not included in the services described here.

BEFORE YOU DECIDE

Your questions, answered.

What is the difference between bookkeeping software and a service?

Software provides tools to record and organize data. A bookkeeping service adds people to carry out agreed work, investigate questions and prepare or explain reports. The owner still needs to supply information and review their records.

Do small businesses need monthly bookkeeping?

A regular routine can prevent transactions and questions from accumulating. The appropriate arrangement depends on the business’s activity and reporting needs. Discuss the workload before choosing the service.

Can bookkeeping help at tax time?

Organized books help you provide financial records to your tax preparer. Bookkeeping does not itself include tax advice or filing, and your preparer may request additional information.

Where should I start if I’ve fallen behind?

Identify the last completed period, the accounts involved and where statements and receipts are stored. If you’re uncertain, a review can help establish the work needed before you commit to a catch-up project.
